How to submit your thesis

The procedure includes the following steps.

  1. The PhD student uploads the final version of the PhD thesis in Pure together with the relevant attachments.
  2. The 糖果派对 Library checks the PhD thesis for plagiarism (originality check).
  3. The 糖果派对 Library submits the PhD thesis for assessment to the Graduate School on the behalf of the PhD student after originality check.
  4. Once the PhD thesis is approved for defense, the 糖果派对 Library will make the PhD thesis publicly accessible in an online version on the Research Portal via Pure.

It is the PhD student’s own responsibility to acquaint oneself with the rules, procedure and requirements for the PhD submission.

Please note! No changes or additions is allowed to be made once the PhD thesis is handed in. However, you are allowed to enclose an erratum.

The required attachments must include:

  • Co-author declarations for all the included articles, scanned into one file pr article – see next section
  • A signed statement from the main supervisor describing the overall PhD course, including a short presentation of the role of any co-supervisors and a statement as to whether the PhD student has satisfactorily complied with the degree program. Please find the form here

 

The Graduate school will check that you have completed the other mandatory parts of the PhD program:

  • That you have archived 30 ECTS
  • A list describing teaching and knowledge dissemination activities
  • A description of contacts with other research environments during the PhD program

 

Please make sure that this is up to date in the system, by checking the web portal. If anything is missing, please provide the relevant information or contact The Graduate School. 

One of the mandatory documents that must be submitted with the PhD thesis is Declaration of Co-authorship (see Forms, guidelines and regulations). Here the extend of the PhD students contribution to the articles in the thesis must be indicated.

The declaration is in two parts.

  1. The first part covers the manuscript in general. This must be filled out by the PhD student once pr manuscript
  2. The second part is the signatures from the different co-authors. The PhD must fill out the information and every co-author must sign one version each (please note, it is still the students contribution that's is being evaluated).

If an article have more than 10 co-authors, the student only need to obtain signatures from:

  • The first 10 co-authors 
  • The last co-author
  • The main supervisor (if he/she is also an co-author)

 

Please remember t sign all pages and combined the two parts in to one document pr article.

During the transition period between the old and the new format, if you have started to use the old format you can continue using this. Otherwise please use the new forms.

When you upload your dissertation to Pure, you will be asked to confirm whether you allow electronic publication.

If you click ”yes” to having your file for the assessment committee published, the file will be published via Pure when your dissertation has been accepted for oral defense. As the author, you keep all rights to the dissertation.

糖果派对B will print one copy of the full PhD thesis for lending at the library (to comply with the PhD decree §19 stk. 2.). This copy will only be available for reading at 糖果派对B in a supervised reading area.

 

All PhD theses must undergo an originality check before being submitted to the Graduate School.

The University Library will conduct the originality check after the student has submitted the thesis through Pure. It can take up to 3 workdays to complete the originality check. The student do not have to take this in to account when handing in the thesis they just have to follow the deadline for handing in the thesis, please contact the graduate school for any questions.

The originality check will generate one of three conclusions

Green

All is in order, please submit the thesis.

Yellow

Concerns related to previously published text, or other issues.

The thesis may be corrected and submitted for a new originality check or the principal supervisor can submit a statement stating that the issues raised are not a problem. However, in case of substantial concerns a statement saying “not a problem” may be challenged by the Graduate School and you may be asked for revisions and a new originality check.

Red

Suspected plagiarism.

The main supervisor must contact the Graduate School for further processing of the case. The process may include contacting the Dean and, if relevant, forwarding the case to the University Committee on Practice.

Please note that only the final version of the thesis can be checked. Should the thesis generate a yellow conclusion, the PhD student may have ONE extra check.

The University Library submits the PhD thesis for assessment to the Graduate School on the behalf of the PhD student after the completed originality check.

Once the PhD thesis is approved for defense, The University Library will make the PhD thesis publicly accessible in an online version on the Research Portal via Pure.

It is the PhD student’s own responsibility to acquaint oneself with the rules, procedure and requirements for the PhD submission.

The enrolment as a PhD student ends when the thesis is submitted. PhD students who are not employed elsewhere, will therefore qualify for unemployment benefit from the date of submission.
